One-on-One Coaching Privacy, Recording & AI Notice

Private coaching uses more context because the service is built around your situation. This notice explains how Intake answers, session recordings, transcripts, and reviewed deliverables support that work.

When this notice applies

This notice applies when you send the coaching Intake form or choose one-on-one coaching. It does not apply to ordinary Academy membership unless an Academy member separately begins a coaching relationship.

Before we work together

The Intake form asks about your goals, work, current tools, recurring tasks, information boundaries, timing, and contact details so I can prepare and decide whether I can help. An unfinished draft is saved in your browser. After a successful submission, the site clears that browser draft and stores the submitted answers in Supabase. Resend delivers the confirmation to you and the submitted answers to my Google/Gmail inbox. I use Cloudflare Turnstile on the Intake form to help make sure the site is not abused.

Please describe sensitive categories and boundaries without pasting passwords, payment card numbers, private client files, medical records, or other source material I do not need to evaluate the request.

Recordings and transcripts

Private coaching sessions may take place through Zoom and be recorded and transcribed through Fathom. If a session will be recorded, I will tell you before recording begins and record only with your agreement.

The recording, transcript, and Fathom summary are working sources for the coaching service. They preserve what we discussed so the useful details do not depend on memory alone.

How AI-assisted work supports your deliverables

I may use Fathom, Anthropic Claude, OpenAI Codex, and other AI-assisted tools selected for the engagement to draft private insights, recaps, personalized prompts, workflows, recommendations, next steps, and client portal material from relevant parts of a session. I choose what becomes part of the work delivered to you, and you can ask which providers handled a particular session.

I use the information boundaries you shared when deciding what material belongs in an AI-assisted task. I do not use private coaching information to make an automated decision about your access, eligibility, or treatment.

Who can access private coaching material

Private coaching material is limited to you, me, and the services needed to record, process, store, secure, and deliver your work. Your client portal requires an authorized account. Reviewed portal material may be stored in a private GitHub repository and delivered through this site's hosting and authentication services.

I do not publish a private coaching recording, transcript, or deliverable. I do not use private coaching material as a testimonial, teaching example, or group resource without separate permission.

Raw sources and reviewed deliverables have different lifetimes

Recordings, transcripts, downloaded working copies, and AI working context are source material. I keep source material while it supports the active engagement and a reasonable review period, then remove copies I no longer need.

Reviewed prompts, workflows, recaps, recommendations, and other client deliverables may remain in your private portal for the access period agreed with you. You can request an export or earlier deletion. Limited billing, tax, fraud-prevention, dispute, security, and legal records may be kept as long as they are reasonably required.

Your choices

You can ask what coaching information I hold, correct it, request an export, or request deletion through the contact form. Tell me if a recording, transcript, recap, or portal item contains something that should be corrected or removed.
